Stage notes: what exists about you at each bench
This notice walks the same five stages the shop floor walks. At each stage it tells you what information exists at that moment, whose hands it passes through, and when it leaves us.
Before any of that
CLICK-MART LIMITED is the controller of everything described below. The company is registered in England & Wales under company number 14111937, with its registered office and its picking unit at 124 Islwyn Road, Cross Keys, Newport, NP11 7QJ, United Kingdom.
This site draws its two typefaces, Martian Mono and Be Vietnam Pro, from Google's font servers. Opening a page here therefore asks Google for those font files, and that request carries your network address and the browser you are using, which Google receives and handles under its own terms.
The address fulfilment@clickmartltd.store reaches the company itself, at the unit. A message sent there is read by the bench it concerns, kept with the query it belongs to, and closed off with it once the query is answered and any accounting need for it has passed.
Listed
At this stage you are reading a description and we hold nothing you have typed. The hosting service records each request its server answers — the page asked for, the time of the request, and the network address it came from — and keeps that log briefly, so faults and abusive traffic can be traced. The log lives with the hosting service and is used for that purpose.
Where a listing is corrected after you have already bought against it, the correction is filed with the listing and with any order that referred to it, so the reason for the message you receive stays on the record.
Ordered
Placing an order creates the order record. It holds your name, the delivery address, the email address the confirmation goes to, a telephone number where you supply one for delivery notices, and the lines you have bought with their prices.
Payment is taken by the payment processor on the processor's own systems. The processor handles the card details under its own notice and returns a result and a reference to us. That reference, the amount, and the outcome are what sit on the order record here.
The order record and its accounting entries are kept for the period company law and tax law set for records of a sale, and they are closed off at the end of that period.
Packed
The pick sheet and the packing note are printed from the order record and carry your name, the delivery address, the order reference, and the lines in the box. The packing note travels inside the parcel to you.
The bench copy of the pick sheet stays in the unit while the order is being worked and is shredded the moment the order is sealed and signed off. Where an order is queried, the sheet is scanned into the order record first so the query has something to answer to.
Despatched
At handover the carrier receives your name, the delivery address, the contact point you gave for delivery notices, and the weight and count of the parcels. The carrier holds those details as controller of its own delivery operation and applies its own notice to them.
Back here, the tracking number and the despatch time join the order record. Where a parcel goes astray and we open a claim, the claim correspondence is filed with the same record and closes with it.
Returned
A return adds a short file to the order: the reference written on the parcel, the lines that came back, the reason you gave, the condition recorded at the bench in plain words, and photographs where something arrived damaged.
The refund goes back down the payment route it came in on, so the payment processor sees the original reference again and matches it. The return file is kept alongside the order record it belongs to and is closed off at the same time.
You can ask at any point what the record holds, ask for something in it to be put right, ask for a copy to be passed elsewhere, or raise the matter with the Information Commissioner's Office. Each request goes to the same address, and each one is answered.
